Job Description
What you can expect
1. Agent and Vendor Management
- Oversee COL’s global agent and vendor network, ensuring all service agreements are compliant, current, and aligned with company standards.
- Maintain the COL agent master list, including destination port agents, and coordinate updates with the master data management team.
- Implement agent selection directives as instructed by Global Ocean Management.
- Manage third-party contracts (e.g., Descartes), ensuring alignment with COL’s operational and compliance requirements. All changes in terms or rates must be communicated and documented in coordination with the Global Contract Management team.
2. Documentation Control (Bill of Lading & COL Manual)
- Administer the issuance, usage, and governance of COL Bills of Lading and Sea Waybills across all COL agents.
- Maintain and distribute the COL Manual, ensuring it complies with legal and regulatory guidelines.
- Develop and enforce global guidelines for COL BL usage, supported by comprehensive training materials maintained in collaboration with the Operational and Digital Excellence team.
- Coordinate with the Operational Excellence Team (OET) to provide audit materials on document usage and advance filing to minimize compliance risks and penalties.
- Manage agent signature card records and ensure audit accessibility for the OET.
3. Data Analysis and Reporting
- Monitor adherence to COL-exclusive agreements, ensuring proper issuance of Direct or COL BLs; report misuse of COL documentation.
- Track penalties resulting from misfiling or late filing and ensure cost allocation to the responsible office.
- Leverage BI tools to analyze BL data and identify areas for operational improvement.
4. Cost and Billing Validation
- Ensure agents are billed correctly in accordance with agreed fees (both frequency and per BL rates).
- Validate vendor invoices against contractual terms and flag discrepancies for resolution.
5. Licensing Compliance
- Ensure timely renewal and compliance with licensing requirements, including but not limited to:
- NVOCC registrations (China / US)
- FMC Bond (US)
- Customs Bond (US)
- Carrier SCAC Code
6. Other Duties
- Perform ad hoc tasks and projects as assigned by the manager.
What you bring
- Bachelor’s degree in Transportation & Logistics, Business Administration, or a related field.
- Minimum of 2 years’ experience in ocean freight operations, project coordination, or data analysis in the logistics or freight forwarding industry.
- Familiarity with NVOCC operations, maritime regulations, and documentation processes.
- Proficient in data analysis and BI reporting tools.
- Strong attention to detail, organizational skills, and the ability to manage multiple tasks in a fast-paced environment.
- Excellent communication and stakeholder coordination skills.
