Robotic Process Automation

Take your productivity to a new level

Process automation rethought

Unlike physical robots used in industrial production, Robotic Process Automation (RPA) is an innovative and intelligent software solution for the automation of business processes. Our software robots can automate repetitive and time-consuming processes by imitating human work steps. Imagine a digital employee that needs to be trained once and then executes all tedious processes independently. With Robotics, you win efficiency and time that you can use to focus on tasks bringing value to your business. Now it is your turn to realise the full value of RPA. Empower your people to work with greater efficiency and nurture the success of the entire company.

Your benefit: solutions that not only optimise your business processes, but also make them more agile, faster and more profitable.

Use Cases

By deploying a digital workforce, you are opting for satisfied customers, more sales and less stress. Sales employees spend around 50 percent of their working time on administrative tasks. Priorities are set incorrectly. Sales should be sales again. While software robots take over time-consuming tasks, you can use this time effectively to concentrate on lead generation and customer retention.

Common areas of application:
Creation of reports and analysis
Preparation of offers
Sending newsletters

Human Resources (HR)

The focus in HR lies on people. But considering all administrative tasks, the interpersonal focus quickly fades into the background. RPA relieves your employees by letting robots take over manual tasks. In short: They are much faster, do not tire and work without errors. Intelligent automation transforms your HR department and creates freedom for tasks that contribute to the success of your company.

Common areas of application:
Creation of employment contracts
Employees on- and offboarding
Application management

Finances and Controlling

The handling of countless numerical data requires maximum accuracy. You will be surprised how meticulously and quickly our software robots take over and process the repetitive tasks in your accounting department. Reduce the error rate and create more transparency, business resilience and accuracy.

Common areas of application:
Creation of evaluations
Incoming and outgoing invoice processing
Account maintenance and bank postings

Industries in focus

Robotic Process Automation is widely applicable – our software robots are used by customers from various industries

The logistic industry is driven by speed and precision, though still many operations are handled manually. Automate repetitive processes and drive operational efficiency with Robotics. Scheduling and tracking shipments and generating invoices and are just a few processes that can be automated.

Hospitals regularly transfer data from disparate subsystems to the central hospital information system. With Robotics, the data can be retrieved and imported from the individual systems without a direct interface. This frees up human effort for meaningful work with patients and saves time and costs.

      Payment service providers

      Payment service providers

Payment service providers can automate the onboarding process of merchants by using RPA. Before retailers can use a payment card terminal, providers must configure and install a software on the device. The robot takes over this configuration, increasing efficiency and saving up to 95 percent time.

        Data Science

        Better data. Better insights.

        Why Data Science matters

We transform your data into your business success. Robotics combined with Data Science provides you with a variety of information visualised in an understandable and modern dashboard. The tool organises, processes and analyses unstructured data for developments and correlations and adds great value to your company by improving your procedure of deriving conclusions.

With the help of Data Science, you can easily identify weak points, trends and patterns in your processes and gain important insights about your customers. This also enables you to identify interrelationships, establish forecasts, proactively exploit opportunities and design efficient business operations.

        Use Cases

        Visualise sales reports

Robotics and Data Science can be used to analyse client data and visualise sales reports. This keeps you up to date, allows you to better assess your performance and, if necessary, make improvements. The visual presentation of the dashboard also helps you to easily identify trends and correlations in the data, enabling you to optimize future sales operations and to maximize profits.

        Create employment contracts

While the software robot takes over the creation of employment contracts, Data Science helps you maintain a comprehensive overview of your HR environment. How many students or employees are currently working in your company? Do you have room for more staff? With our Data Science dashboard, you get detailed insights into your processes and the anonymised personnel data and can make optimizations, if necessary.

        Process incoming and outgoing invoices

In Logistics, reports and analytical dashboards are often underestimated. With Data Science you have the possibility to get a clear overview of your booking process of incoming and outgoing invoices. You can see exactly how many invoices have been processed, the total amount of invoices, which suppliers the invoices came from and much more. You also gain insights into trends and correlations of the numerical invoice data.

        Your questions, our answers

How long does the development of RPA take?

The average development time until the software robot is ready for its first use is five days. The exact time span is dynamic and depends on the complexity of the process, but a first prototype can be realised within a few days. A key advantage is that no expensive IT project must be set up to develop and implement process automation.

How do you recognise a suitable process for RPA?

Repetitive and rule-based business processes that follow a clear structure and instructions are suitable for process automation. To automate processes with robotics, the following criteria should therefore be met:

        • Rule-based and repetitive
        • Structured input data available
        • Medium to high volume
        • Peak loads and bottlenecks
        • Process can be distributed over 24 hours
        • Vulnerability to human error
        • No regular process changes

The more of these criteria are met, the more suitable is the use of RPA. However, the non-fulfilment of individual criteria does not automatically lead to the exclusion of a process. If you are unsure, you can always reach out to us and we can advise which processes can be automated.

What added value does RPA offer you?

Robotic Process Automation enables companies to efficiently automate repetitive and manual processes. Employees thus have additional resources at their disposal to focus on their core competencies and value-adding tasks. The advantages of software robots further include time savings and reliability. Routine tasks are often prone to errors. In other words: you make a mistake or easily get the wrong line in a table. This simply cannot happen to a software robot, because it automatically extracts the initial data from the operational system and transfers it to the target system. Further advantages that are offered by robotics are:

        • Cost reductions
        • Quality improvements
        • Increase in employee satisfaction
        • Increase in process speed
        • Permanent availability
        • Scalability
        • Focus on core competencies
        • Efficiency increase
        • Increase customer satisfaction and loyalty
What is the difference between a VBA macro and RPA?

VBA macros can only be used within one program and have difficulties communicating with other software. To enable interactions between different solutions, interfaces are required for each individual program. With VBA macros, User Interface (UI) commands can only be executed by movements on the X and Y axes. Hence, it is more difficult to detect changes in the positions of fields and a wrong field is easily clicked on. Robotic Process Automation, on the other hand, enables smooth control and communication between different programs. RPA is even often used as an interface solution. Buttons and text fields are recognised by selectors and not just their position. Thus, Robotic Process Automation is less prone for errors and is a much more flexible tool than VBA macros.

How is RPA embedded in the IT infrastructure?

There are two different ways to build the IT infrastructure for RPA:

        1. All data remains in the client's network and a software robot can be installed on site at the customer's premises. This requires access to the computer via an external network without a proxy. As soon as the robot arrives at work like an employee, it redeems its license key, works on the customer's system and returns the key after work. In this way, the data never leaves the client's premises.
        2. Alternatively, we can provide everything in the Rhenus network. In this case, you need to provide us with the input file, which includes the data that the Robots processes. The provided data is stored on our ISO certified TIER3 data centre in Germany.
What added value does Data Science offer you?

With Robotics and Data Science you can gain a deep understanding of your customers and maximize the efficiency of your processes. You can identify weaknesses in your processes early on and, if necessary, make improvements. You also gain insights into trends and developments in the market and can base your strategic planning on them. Decisions are no longer made on a presumption basis: you decide based on facts.

What data is logged by the software robot?

By default, the software only logs data from the day the robot was active. This data includes, among other things, which process was performed and how long it ran. If required, we can also log additional data especially for our clients. For example, customers often request a defined protocol with the most important information about the process run.
